Personal Assistant

Responsibilities and Duties

  • Act as the point of contact between the manager and internal/external clients
  • Screen and direct phone calls and distribute correspondence
  • Handle requests and queries appropriately
  • Manage diary and schedule meetings and appointments
  • Make travel arrangements
  • Take dictation and minutes
  • Source office supplies
  • Produce reports, presentations, and briefs
  • Devise and maintain the office filing system

Requirements, Skills & Qualifications

  • Minimum of 2 years of experience as a personal assistant would be advantageous.
  • HND/BSc in Management or Social Science
  • Knowledge of office management systems and procedures
  • Extensive experience in creating documents and spreadsheets, using office software such as Ms Word, Excel, and PowerPoint
  • Advanced typing, note-taking, recordkeeping, outstanding organizational and time management skills
  • Up-to-date with the latest office gadgets and applications
  • Ability to multitask and prioritize daily workload
  • Excellent verbal and written communications skills
  • Ability to manage internal and external correspondence.
  • Proficiency in appointment scheduling software such as Ms Outlook, as well as call forwarding
  • Discretion and confidentiality
  • Certification in Secretarial work, office administration or related training would be considered an advantage
  • Preferable Male
